Privacy policy

Car Loft Alex Recall is a pilot tool for authorized Car Loft staff to coordinate vehicle recall service appointments. This page explains the information used by the tool and its Google account connection.

Information we use

Scheduling records can include VINs, vehicle details, reported recall campaigns, service-department contact details, staff requests, appointment details, prior-night drop-off instructions, call outcomes, and repair evidence. Where call recording is enabled, recordings and transcripts may form part of the appointment record.

Google account permissions

With the account holder's permission, Alex receives the connected Google account's email address, permission to access Google Sheets, and permission to send email through Gmail. Google Sheets permission is broad, but the application is configured to work with the designated recall tracker. Gmail access is limited to sending notifications; the application does not request permission to read the inbox.

Google data is used to maintain recall and appointment records and send related confirmations and consolidated updates. We do not sell Google user data, use it for advertising, or use it to train general-purpose AI models. Car Loft Alex Recall's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Service providers and sharing

The planned pilot uses Google for hosting, task processing, spreadsheets and email; Supabase for application records; and Telnyx and Retell for calling and voice-agent functions. Relevant vehicle and appointment information is shared with the service department contacted to arrange a repair. Google authorization credentials are not supplied to the voice agent or service department. Access to records is limited to authorized staff and service providers supporting these functions.

Storage and retention

Authorization credentials are encrypted in the setup vault. Hosted application credentials will be held in the hosting platform's secret storage. Scheduling records and call evidence are retained as needed for coordination, follow-up, troubleshooting, and applicable recordkeeping requirements. Backup copies may remain for their backup retention period. This public information website does not contain vehicle records or a form for submitting them. The hosting provider may process ordinary access logs, such as request time and IP address, to operate the website.

Your choices

You can revoke Google access through your Google Account's third-party connections settings. Revocation stops future authorized access but does not automatically erase previously created appointment records or messages.
